1. The Wizard

The Traderwebs Wizard is designed to help you create a site quickly and easily. Many of the advanced options are not available at this stage.

You can return to the Wizard at any time. However, the site editor is more suited to making small changes.

1.1 Preview

The screen is split into two "frames". The left-hand frame is where you enter information. The right-hand frame is a real-time preview of how your site will look.

The preview frame is blank initially, until you have entered enough information to create a working site.

1.2 Navigating the Wizard

Use the "Previous" and "Next" buttons to move backwards and forwards through the Wizard.

1.3 Generic defaults

The aim of the Wizard is to minize the time taken to create a site. To this end, a standard marketing slogan, standard home page text, company profile, mission statement, company logo and terms and conditions are automatically inserted. These can be changed at any time.

These are described in the Wizard itself; only the equivalents in the Site Editor are described in this manual.

2. The Site Editor

2.1 Navigating the Site Editor

The Site Editor is laid out similarly to the Wizard. There is an extra navigation frame at the top-left of the screen:

Click on a section in the navigation frame to go to the relevant page. Click 'OK' to make changes on a specific page. If there are sub-pages (for example, in the "Colours" section), there is usually a 'Cancel' button which will take you back to the main page in that section without making any changes.

NOTE: Many sections are not available until you enable the relevant feature in the "Pages" section. See the Feature Index for more details.

2.2 Live Site and Preview Site

When editing your site, you are actually editing a separate "preview" site. No changes are made to your live site until you click 'Commit' on the "Log out" page. Before you commit your site for the first time, your live site will show an "under construction" page.

If you click 'Revert', all changes made since you logged in are discarded, and your live site is untouched.

All modifications to the preview site take effect immediately, with the exception of email forwarding. This only changes when you commit your site.

Preview sites are kept indefinitely. If you suffer internet connection problems, your preview site will still be intact when you reconnect.

3. Pages

3.1 Company details

Your name and address go here.

3.2 Frequently asked questions

This page is a list of questions and answers. Click 'Add a question' to add a new question, and 'Delete last question' to remove the last question.

3.3 Extra pages

Click on the title of a page to edit that page, or click 'Delete page' to delete it. 'Add page' will create a new page.

You can create as many pages as you like.

3.4 Search

Enabling the search facility adds a search box to the navigation bar. The search box will search your products and display a list of matching entries. Non-product pages are not searched.

3.5 Links

You can customise the links on each page, and on the navigation bar. Thus visitors can be guided through your site.

4. Page editor

The page editor is used for the Home page, About page and any extra pages you create.

4.1 Basic editing

The page is displayed exactly as it will look on your site ("what you see is what you get").

Pressing Enter will insert a paragraph break. To insert a single-line break, press Shift+Enter.

4.2 Images

Click the 'Image' button to open the image chooser.

Click 'Browse' to choose an image. Use the 'Larger' and 'Smaller' buttons to set the image size, and click 'OK' to upload the image.

Images can be "floated" using the 'Align Left' and 'Align Right' buttons on the toolbar. 'Centre' will stop the image from floating.

NOTE: Existing images can be resized by dragging the corners, but this is not recommended, and may result in loss of quality. For best results use the 'Larger' and 'Smaller' buttons, as outlined above.

4.3 Hyperlinks

You can insert links to other pages or products by selecting some text and choosing a page from the "Link" menu.

"External link" will create a link to a different site, or to an email address. "Remove link" will remove any existing hyperlink.

4.4 Headings and sizes

Create headings using the "Style" menu. There are six sizes of heading, Heading 1 being the largest. Headings affect an entire paragraph.

Text size can also be changed using the "Size" menu.

4.5 Source view

Click the 'Source view' button to the right of the page heading box to enter source view mode.

Source view allows you to view and edit the HTML source of your page. This is mainly of use to advanced users.

Many sites offering link exchanges, hit counters, guestbooks or other facilities will give you a snippet of HTML code to place on your site - simply paste it in.

NOTE: Switching to source view will lose all undo information.

5. Templates, Layouts, Styles and Schemes

The design of your site is split into three areas:

5.1 Templates

We have several pre-designed site templates for easy site creation.

A template is simply a combination of Layout, Style and Scheme. Hence, changing template will overwrite any changes you have made to these.

NOTE: Some templates lack the option to edit layout, style and scheme separately.

You can choose one of our pre-defined colour schemes or you can design your own.

Choose a colour entry to modify, then choose from the 216 colours available.

The colours used for generating the background texture are 'Background', 'Button' and 'Button highlight'.

5.5 Preview thumbnails

Thumbnails are shown based upon your currently chosen Layout, Style and Scheme.

Thumbnails are only available for the pre-defined Layouts, Styles and Schemes: if you have modified Style options or chosen your own colours, the thumbnail will show the last preset you chose.

6. Products

Each product is contained within a category. You must create a category before populating it with products.

Categories can contain sub-categories (and sub-sub-categories), up to a depth of 10.

There are four pages in the product entry system:

6.1 Category list

Click on a category name to make modifications to that category (including changing the name). This takes you to the "Category contents" page.

Click 'Create new category' to create a new category (goes to the "New category" page).

Click 'Delete category' to delete a category. Only empty categories can be deleted - you have to remove all the products within the category first.

6.2 New/Edit category

'Parent category' allows you to make this category a sub-category of another category. If there are no eligible categories (only categories not containing products may contain sub-categories), the parent category will be 'None'.

6.3 Category contents

At the top of the page is the description for the current category.

Below that is the list of products (or sub-categories) in the category. Click on the name of a product to go to the "Edit product" page.

Click 'Create new product' to create a new product in the category (goes to the "New product" page).

Click 'Create new sub-category' to create a new sub-category in this category.

Click 'Edit category' to go to the "Edit category" page.

NOTE: Categories can contain products or sub-categories, not both. The 'Create new sub-category' option only appears for categories with no products, and the 'Create new product' option only appears for categories with no sub-categories.

6.4 New/Edit product

6.5 Product and Category weights

Product weights are only useful if you are using the "Parcelforce" shipping method. They are ignored in all other circumstances.

If a category weight is set, then creating a new product within that category will set the product's weight automatically.

6.6 Product Import

If you have a database, spreadsheet or accounts package containing your products, you can import them to save you retyping the information.

This can also be used, for example, to keep your price list up-to-date.

  1. In your application program (database, spreadsheet etc.), save as CSV (Comma Separated Values).
  2. Click 'Browse' on the "Product Import" page, and locate your CSV file.
  3. Click 'Import'.

Here is an example spreadsheet, containing three products and two categories:

NOTE: Importing products will overwrite any existing products. Product images and category information will be preserved if the names match.

6.7 Product Options

Multiple options are possible for each product. Currently the only way to use this feature is by importing a CSV file.

For each option type, create a column with the heading "Option:" followed by the option name. For each product that has that option, enter a colon-separated list of values.

Options are displayed as a drop-down menu. To create a list with a "radio button" beside each value, use the heading "Button:" instead, as shown above.

NOTE: Options must be enabled in 'Pages' before they will appear in product listings.

NOTE 2: This interface is subject to change in the future, when options are available in the Site Editor.

NOTE 3: Options are currently ignored when exporting products.

6.8 Product Export

You can export products as a CSV file, for re-importing later.

7. Orders

7.1 Shopping Cart

If you enable the shopping cart, customers can buy products online. The Product Listing page shows a "Buy" button for each product, which will add the item to their cart.

If shopping cart is disabled, the Product Listing page shows an "Info" button, which will send an email requesting further information about the product.

7.2 VAT

If you are VAT registered, VAT will automatically be calculated.

7.2.1 Prices entered including/excluding VAT

If you select 'Database prices are inclusive of VAT', then you can enter VAT-inclusive prices, and VAT will be subtracted as required. Otherwise, enter prices excluding VAT, and VAT will be added as required. Excluding VAT is recommended, as the VAT-exclusive price is used for quantity calculations.

7.2.2 Display prices including VAT

If ticked, prices in the product listing will be shown including VAT. Shipping prices will also be shown including VAT (unless the customer is VAT exempt).

7.2.3 Customer location

Customers inside the UK will be charged VAT at 17.5%. Customers outside the UK but within the EU will be charged VAT unless they are themselves registered for VAT, in which case they will need to supply a valid VAT registration number.

Customers outside the EU do not have to pay VAT.

7.2.4 VAT and the shopping cart

There are two extra shopping cart columns when VAT is in effect: A 'VAT' column showing the amount of VAT per item, and the total amount of VAT, and a 'Subtotal' column showing the totals after VAT has been added.

VAT is enabled until the customer has indicated they are VAT exempt, i.e. by selecting a non-EU country or by supplying an EU VAT registration number.

7.3 Order emails and Invoices

Two emails are sent when a customer places an order: one to the customer and one to you.

The email to the customer looks like this:

(If you are taking credit card payments through WorldPay or SECPay, customers will also receive an email with confirmation of their payment.)

7.4 Credit Card Clearing

If you want to take credit card payments online, you will need an account with either WorldPay or SECPay. We recommend WorldPay for most clients, as SECPay requires that you have an existing Internet merchant account. (For those who do have such an account, SECPay may prove slightly cheaper.)

For details of how to set up a WorldPay account, see Appendix B.

7.5 Test transactions

Orders placed on your preview site are "test transactions". These are clearly marked as such, and are useful for testing the order system.

Both WorldPay and SECPay allow dummy credit card transactions. You can set these to succeed or fail, to see how such situations will appear to customers.

7.6 Shipping

7.6.1 Parcelforce

Shipping costs to anywhere in the world can be automatically calculated using Parcelforce's rates.

Shipping cost is based on weight; you need to set this for each product in order for the cost to be calculated reliably.

7.6.2 Fixed rate

Alternatively, you can choose the simpler option of having a fixed cost for shipping. This can be zero if you do not require shipping.

7.7 Order Log

Orders are logged for future reference. Normally only orders less than a week old are listed; click 'See all orders' to view older ones too.

The letters T, P and D are used as abbreviations for "test order", "paid" and "dispatched" respectively.

You can search by order number, which will bring up the specified order immediately, or by customer name, which will show a list of matching orders.

Orders can be marked as paid or dispatched. Credit card orders are marked as paid automatically.

A dispatch confirmation email can be sent to the customer.

8. Images

8.1 Image Uploading

To upload an image click on the "Browse" button, and locate your image in the popup window.

The following common image file formats are recognized:

To delete an existing image, tick the 'Delete image' option.

NOTE: currently, product images cannot be deleted. Delete the product and create it again.

8.2 Resizing Images

Images can be automatically resized. The sizes available are:

Images that are smaller than your chosen size will be left at their original size.

NOTE 1: Changing the image size will only take effect when you next upload an image. Existing images will not be affected.

NOTE 2: Resizing an image will lose any animation. Disable image resizing if you want to upload animated images.

8.3 Image Importing via FTP

FTP (File Transfer Protocol) is an advanced option, intended for sites with upwards of several dozen products. It allows product images to be uploaded in batches.

FTP cannot be used to upload images for categories, or for other pages such as the Home or About page.

  1. You need your images named the same as the corresponding product, e.g. a product named "chainlink" might have an image called "chainlink.jpg" or "chainlink.gif".
  2. Use your FTP program to transfer the images. (See Appendix A for instructions for Bluezone FTP.)
  3. Click 'Import' on the "Image Import" page.

Image importing uses the same resizing options as image uploading.

9. Email, Domain Names, Statistics and Search Engines

9.1 Retrieving Email

Your email address is <your username>@traderwebs.co.uk. When you register your domain name, you can use <any name>@<your domain> as well.

Your email is stored on our server until you collect it. Set your email program to use a secure POP3 server at www.traderwebs.co.uk, using SSL on port 995.

See Appendix C for detailed instructions for doing this using Microsoft Outlook Express.

9.1.1 Email Forwarding

If you would like to use an existing email account, you can have all your email sent there instead. You do not need to make any email configuration changes in this case.

9.2 Domain Registration

As part of the Slingshot package you get a free .com or .co.uk domain name. Enter your desired domain name (without the .com or .co.uk suffix) and click 'Lookup'.

A large number of domain names have already been registered, so you might have to try several names before finding one that is available.

Then click 'Register' to register your domain.

9.3 Search engines

Search engine submission is done when you first register your domain, and periodically thereafter (this varies per search engine).

The complete list of search engines we submit to is:

Many of the other major search engines (e.g. Yahoo) take their results from the above sites.

Search engines are notoriously slow at indexing sites. It can take several weeks for your site to be indexed.

9.4 Statistics

Statistics show how many visitors there have been to your site, and how long they stayed. It also shows a breakdown by day and time, and which pages were most popular.

Statistics are generated on the first day of each month.

10. Search Engine Tools

10.1 Search Engine Keywords

You can set keywords to assist search engines in indexing your site.

You should keep your company description short and to the point. Keywords should be separated by commas, and should not be repeated.

10.2 Page Analysis

Hints on how search engine-friendly your home page is.

10.3 Search Engine Lookup

This queries the search engines for specific keywords and reports where your site occurs in the results.

The following search engines are searched:

10.4 Site Link Checker

This queries the search engines for sites that link to your site (or another site), and ranks them by popularity.

You can search for up to three sites at once.

This is a list of where various features are located in the Site Editor.

Appendix A: Installing and Using Bluezone FTP

Bluezone FTP is a free FTP program for Windows. It can be downloaded at http://www.traderwebs.co.uk/evbzftp.exe.

Appendix B: Setting up a WorldPay Account

The following instructions assume you have successfully applied for a WorldPay account. WorldPay will have sent you a username and password, a company ID and an Activation Request form.

Log in to your WorldPay account (https://select.worldpay.com/wcc/admin), and choose "Configuration options" from the list of installations. Also make a note of your Installation ID.

Type the following in both the "Merchant's shop URL" box and the "Callback URL" box:

http://www.traderwebs.co.uk/~<your username>/

Ensure that the "Callback enabled" and "Use callback response?" options are both ticked.

Log out of WorldPay.

Log in to your site and go to the 'Orders' page. Choose "WorldPay" from the 'Merchant type' menu, and type your Installation ID (not your company ID!) into the 'Merchant account ID' box.

Commit your site, and complete the Activation Request form. WorldPay will visit your site and place a test credit card order prior to making your account live.

Appendix C: Setting up your Email Account using Microsoft Outlook Express

Open Outlook Express, click on 'Tools', click on 'Accounts'.

You will probably have an existing email account with your ISP. Freeserve is used here as an example.

Click 'Properties', then 'Servers', and make a note of the SMTP server used by your current account (in this case, smtp.freeserve.net).

Click 'Cancel', then click 'Add' and 'Mail...'. This will start the email account wizard.

Enter your email address - this can be anything at your Traderwebs domain.

Type www.traderwebs.co.uk into the "incoming mail server" box and your current ISP's SMTP server into the "outgoing mail server" box.

Enter your Traderwebs username and password, and finish the wizard.

Click on the new "www.traderwebs.co.uk" entry, click 'Properties' then 'Advanced'.

Tick "This server requires a secure connection" for incoming mail only. Ensure the port number is 995, as shown.

Click 'OK', then click 'Set as Default' to use your Traderwebs email account instead of your ISP's.
